Proration Explained — Upgrades, Downgrades and Credits Print

When you change a plan in the middle of a billing cycle, you should only pay for what you actually use. That adjustment is called proration. This article explains how it works in the Tech Guru IT Solutions client portal so your invoice never surprises you.

How an upgrade is calculated

Suppose you are on a plan of Rs 1,999 per month and you upgrade to a Rs 4,999 plan exactly halfway through the month. The system works like this:

  1. It calculates the unused portion of your current plan: half of Rs 1,999, which is about Rs 999. This becomes a credit.
  2. It calculates the cost of the new plan for the remaining days: half of Rs 4,999, which is about Rs 2,499.
  3. The upgrade invoice is the difference, roughly Rs 1,500 plus GST, and the new plan activates as soon as it is paid.

Your next full invoice is then for the new plan at its normal price, on your usual renewal date.

How downgrades work

  • Downgrades normally take effect at the end of the current billing cycle, so you keep the higher plan features you already paid for.
  • If a downgrade is applied mid-cycle for any reason, the unused difference is added to your account as credit, not refunded in cash.
  • Before downgrading, check the limits of the smaller plan, for example user counts, warehouses or storage, so nothing breaks.

Common questions

  • Is GST recalculated? Yes, GST applies to the prorated amount on the invoice.
  • Do annual plans prorate too? Yes, the same day-wise logic applies across the year.
  • Where do I see my credit? Under Billing, the credit balance is shown at the top and on every invoice where it is applied.

If a prorated invoice looks wrong, do not pay it. Open a Billing ticket with the invoice number and we will recheck the calculation for you.
