From Laptop Calls to Professional Rooms

Hybrid work made video calls permanent, but a laptop on a stack of books does not represent your company well in a client meeting. Dedicated video conferencing hardware makes remote participants feel present. Here is how to choose it.

Two Deployment Models

  • Room systems (appliance mode). A dedicated device runs Microsoft Teams Rooms or Zoom Rooms natively. The room joins scheduled meetings with one tap on a touch controller, with no laptop involved. This is the most reliable experience for organisations standardised on one platform.
  • Bring your own device (BYOD). The room provides a quality camera, microphones, speakers and display; any laptop connects over a single USB cable and uses any platform — Teams today, Zoom tomorrow, a client platform next week. Lower cost and maximum flexibility, at the price of a small connection step.

Many of our clients mix both: appliance rooms for their standard platform, BYOD in smaller rooms and guest areas.

Hardware That Matters

  1. Camera. Wide field of view for small rooms; optical zoom and auto framing for larger ones. Speaker tracking keeps the camera on whoever is talking.
  2. Microphones. The most underrated component. Poor audio ends meetings faster than poor video. Table or ceiling microphones must cover every seat, with echo cancellation tuned to the room.
  3. Certification. We recommend devices certified for Teams or Zoom, which guarantees tested compatibility and firmware support.

Do Not Forget the Network

A video call consumes 2 to 4 Mbps of stable bandwidth per room. We review internet capacity, Wi-Fi versus cabled connections and QoS settings as part of every deployment, because the best hardware cannot fix a congested network.
