Conference Room AV Setup — Small Huddle to Boardroom Print

  • 0

Right-Sizing AV for Every Room

The most common AV mistake we see is one-size-fits-all: the same equipment bought for every room, leaving small rooms over-equipped and large rooms unusable. Room size should drive the design. Here is the framework we apply for clients across Delhi NCR.

Huddle Rooms (2 to 4 People)

Small rooms need simplicity above all. A 43 to 55 inch display, an all-in-one video bar combining camera, microphones and speakers, and a single USB cable or wireless connection to the laptop. Setup time under thirty seconds. This category delivers the best value per seat and every office should have several such rooms.

Standard Meeting Rooms (5 to 10 People)

A 65 to 75 inch display or dual displays so remote faces and content appear together. A higher grade video bar or a separate PTZ camera, plus extension microphones so voices at the far end of the table remain clear. Cable management through the table with HDMI and USB-C connectivity, or a wireless presentation device.

Boardrooms (10 to 20 People)

This is where dedicated engineering matters. Dual large displays or a small LED wall, ceiling microphone arrays that keep the table clutter free, a digital signal processor for echo cancellation, camera framing that tracks the active speaker and a touch control panel that runs everything with named presets such as Presentation and Video Call.

Practical Details That Make or Break Rooms

  • Display height set for seated eye lines, not aesthetics
  • Windows behind participants create silhouettes — camera placement must respect light direction
  • Network points and power provisioned at the display and table before interiors close up
  • A room scheduling panel at the door reduces booking conflicts

Budget Guidance

As a broad indication, huddle rooms start around a lakh, standard rooms in the two to five lakh range and boardrooms upward of that, depending on brands and civil work. For a room by room proposal, contact app.techguru.co.in or +91-8800567676.
