Backing Up and Exporting Your GO Mailbox Data Print

Why Back Up Email at All

Your GO Mailbox runs on managed, monitored infrastructure, but no provider anywhere protects you from every scenario: an employee mass deleting mail before resigning, a compromised password used to wipe folders, or a legal requirement to preserve correspondence for years. A periodic export you control is cheap insurance, and for many Indian businesses, tax and compliance records in email deserve the same care as paper files.

Method 1: Export from a Desktop Client

The most practical approach for SMBs uses the mail client you already have:

  1. Configure the mailbox in Thunderbird or Outlook over IMAP and let it fully synchronise all folders. For a large mailbox this first sync can take hours; leave the machine running.
  2. In Outlook: use File, then Open and Export, then Import Export, and export to an Outlook Data File with subfolders included. Store the resulting .pst file safely.
  3. In Thunderbird: install an export addon or copy the profile mail folders, which store messages in standard mbox format readable by many tools.

Method 2: Archive Within the Mailbox

Create year folders such as Archive-2025 and move old mail into them. This does not protect against account level loss, but it keeps the inbox fast and makes the desktop export cleaner.

Storage and Rotation

  • Keep exports on an external drive or office NAS, plus one copy in cloud storage. Follow the same 3-2-1 thinking used for website backups.
  • Export quarterly for active business mailboxes, and always before deleting or downsizing any mailbox.
  • Password protect or encrypt export files; they contain your entire correspondence.
  • Label files clearly: mailbox name, date range, export date.

Before Closing Any Mailbox
