Email Filters and Rules - Automatic Inbox Organisation Print

Let the Mailbox Sort Itself

If your GO Mailbox inbox mixes customer enquiries, invoices, newsletters and system notifications, filters can sort them automatically the moment they arrive. A filter is a simple rule: when a message matches a condition, perform an action. Filters set in webmail run on the server, so mail is already organised before your phone or Outlook sees it.

Creating Your First Filter

  1. Log in to GO Mailbox webmail and open Settings, then Filters.
  2. Click Add or Create and give the rule a clear name such as Bank Alerts.
  3. Set the condition, for example: From contains alerts@yourbank.in.
  4. Set the action, for example: Move message to folder Banking.
  5. Save. The rule applies to all new incoming mail immediately.

Filter Ideas That Save Real Time

  • Invoices folder: subject contains the word invoice, move to Accounts. Your accountant finds everything in one place.
  • Newsletter cleanup: messages containing an unsubscribe header move to a Reading folder, keeping the inbox for real correspondence.
  • VIP highlighting: mail from your top three clients stays in the inbox and gets flagged, so it never drowns.
  • Order notifications: messages from your website contact form or shop move to a Leads folder that the sales team reviews twice daily.

Rules About Rules

  • Filters run in order from top to bottom; put specific rules above general ones.
  • Avoid the delete action in filters. Move suspicious mail to a folder instead, so a wrong match never destroys anything.
  • Review filters quarterly; old rules for former suppliers or dead projects create confusion.
  • Test each new filter by sending a matching message from another account.
