Exporting Data and Reports for Your Accountant Print

At month end and year end, your accountant needs clean numbers, not screenshots. TrueStock exports every register and report in formats that drop straight into accounting workflows, and its integrations mean much of the data is already inside your books.

What can be exported

  • Stock summary: item wise quantity and value as on any date, the report your CA wants for the balance sheet closing stock figure.
  • Movement register: every inward, outward and transfer with document numbers and timestamps.
  • Variance and adjustment register: all write-offs and adoptions with approver names, forming the audit trail for shrinkage entries.
  • Ageing report: stock value grouped by days held, useful for provisioning slow stock.
  • Gate event log: complete security log, occasionally requested during insurance claims.

How to export

  1. Open the report in truestock.app and apply the date range and warehouse filters you need.
  2. Click Export and choose Excel or CSV for working files, or PDF for signed submissions.
  3. For recurring needs, use Scheduled Exports to email the stock summary to your accountant automatically on the first of every month.

Using the accounting integrations

If TrueStock is connected to Tally, Zoho Books, Busy, Marg, Vyapar or MyBillBook, inward and outward movements already flow into your books as they happen. In that case, the export your accountant needs most is the reconciliation report, which proves the books and the physical warehouse agree, plus the adjustment register explaining any differences.

Year end checklist

  • Complete a full audit in the final week of the financial year.
  • Export the stock summary dated 31 March, the variance report and the adjustment register.
  • Archive the PDF set with your other statutory records.

Exports respect user permissions, so give your CA an Auditor role login rather than emailing files manually. If a required format is missing, tell us through a ticket and we will advise the best route.
