Configuring Alerts and Notifications Print

TrueStock watches your warehouse around the clock, but it can only protect you if the right person hears about a problem in time. The alerts module turns events, gate alarms, low stock, sync failures, into emails, SMS and app notifications routed to the correct people.

Alert types you can enable

  • Gate alarm: a tag crossed a UDM9R gate without an authorised outward document. The highest priority alert in the system.
  • Low stock: an item fell below its reorder level. Set per SKU or per category.
  • Audit variance: an audit closed with missing or excess value above a threshold you define, for example Rs 10,000.
  • Integration failure: a sync to Tally, Zoho, Busy, Marg, Vyapar or MyBillBook failed and needs attention.
  • Hardware offline: a gate reader or tagging station stopped reporting, which matters most outside working hours.
  • Inactivity: no inward or outward recorded during hours when the warehouse is normally busy, a gentle sign that staff have bypassed the system.

Setting up routing

  1. Open Settings, then Alerts in truestock.app.
  2. For each alert type, choose the channels: dashboard, email, SMS or mobile push.
  3. Assign recipients by role, so a Warehouse Manager gets gate alarms for their own site only, while the owner receives a daily summary of everything.
  4. Set quiet hours for informational alerts. Security alerts such as gate alarms and hardware offline should ignore quiet hours.

Avoiding alert fatigue

The fastest way to make alerts useless is to send everything to everyone. Follow two rules: every alert must have exactly one owner responsible for acting on it, and any alert nobody has acted on in a month should be re-routed or switched off. Review the alert log monthly and tune thresholds.

The daily digest email, sent each morning with stock position and overnight events, is the single most popular setting among owners. Enable it under Alerts, then Digest. For help designing an escalation matrix, contact Tech Guru IT Solutions support.
